1. GENERAL INFORMATION

3. CONTRACTING SPACE AND SCHEDULE

3.1. Registration: Companies, institutions and entities interested in participating in Net Zero Tech 2024 must fill in and send the registration form, or write to Five Continents Exhibitions, S.L. To formalize registration, they must make a payment of 20% of the contracted space, according to the modalities specified in point 8 of these regulations (payment conditions).

4. ADMISSION

4.1. Admission: The Net Zero Tech 2024 Organization may reject an application if the products of the company/institution/entity do not match the Net Zero Tech offer (point 2 of these rules). In this case, the amount advanced by the company/institution/entity will be refunded. However, in accepting the space, the exhibitor undertakes, on behalf of himself and the persons representing him, to comply with the administrative provisions of the assembly, security, advertising and other guidelines for participation contained in these rules of participation.

5. DISTRIBUTION OF SPACES

5.1. Space allocation: The allocation of space is an exclusive right of the organizers of Net Zero Tech 2024 and will be made according to technical considerations, related to the exhibition as a whole and the offer of each exhibitor, although the application made by the exhibitor, the space contracted and, above all, the date of formalization of the registration will be taken into account.

5.2. Distribution and allocation of spaces: Once the distribution of spaces has been carried out, a copy of the plan will be sent with an indication of the space allocated to each exhibitor.

6. FEES

6.1. Fees: see forms.

6.2. Dimensions of stands: see forms.

6.3. Decoration and services included in the price: The price of the stands includes the following standard decoration: melamine panels, octagonal aluminum profiles, front with corporate sign, carpeting, lighting and an electrical connection point.

7. VAT

7.1.VAT: VAT will be applied for Spanish companies.

8. TERMS OF PAYMENT

8.1. Terms of payment: Payments for the contracted space shall be made in the following installments: 20% at the time of formalizing the registration. The second 80% shall be paid before May 10, 2024.

Stands contracted after May 10, 2024 must pay the full amount.

8.2. Method of payment: by bank transfer payable to Five Continents Exhibitions, S.L.

8.3. Payment defaults: The stand will not be allowed to be set up if the exhibitor has not paid in full for the space and services contracted and invoiced. Likewise, the stand may not be evacuated until the exhibitor has satisfied all payment commitments to Five Continents Exhibitions, S.L. In the event of a delay, the organizers of Net Zero Tech 2024 have the right to prohibit the removal of all materials from the stand and keep them as a guarantee. In this case it makes no difference whether the objects are the property of the exhibitor or of a third party. All costs for the application of these measures shall be borne by the exhibitor. On the other hand, the organizers assume no responsibility for any damage that may eventually suffer the materials retained as collateral.

8.4. Cancellation of space: Registered exhibitors who renounce to participate in Net Zero Tech, must notify the organization in writing of such cancellation before April 5, 2024. In such a case, 80% of the amounts invoiced up to that moment will be reimbursed to the resigning exhibitor, as space. The 20% deposited at the signing of the agreement will never be refunded. If the resignation occurs later than the date indicated, or is not notified in the aforementioned manner, the exhibitor will lose the right to obtain any refund of the amounts paid. In the event that the exhibitor has not paid the full amount before the start of the assembly or has not occupied the contracted space, the organization will be free to assign the space or stand to a third party, without any obligation to compensate or refund the amounts advanced for such concept.

9. ADVERTISING DURING NET ZERO TECH 2024

9.1. Advertising on the exhibition grounds: It is not permitted to distribute outside the stand, leaflets or any other advertising material without written permission from the organizers.

10. LEGAL ISSUES

10.1. Accident prevention: The current occupational hazard regulations must be observed, in particular the legal regulations for the safety of personnel during assembly, exhibition and dismantling and commissioning of apparatus and machines, as well as the safety regulations for machines in operation. Exhibitors assume this responsibility.

10.2. Damage to the premises: The exhibitor shall be responsible for all damage caused by him or his employees on the premises.

10.3. Loss or damage to the exhibited materials: The organizers do not assume any responsibility and will not grant any compensation for any loss or damage that may eventually and for various reasons, the exhibits may suffer.

10.4. Cancellation of the contract by Net Zero Tech 2024: The organizers have the right to cancel the contract without prior notice, provided that it is judicially proven that the exhibitor incurs, or may incur in unfair competition or any infringement of established law. Under no circumstances may the exhibitor claim compensation rights.

10.4.1. If Net Zero Tech 2024 cannot be held due to circumstances beyond the control of the organizers, such as force majeure, the organization will refund to the exhibitors, proportionally and provided there is a balance, the part of the cost that has not yet been incurred.

10.5. The Spanish brand authority right. Madrid shall be the place of execution and jurisdiction.

11. CREDENTIALS AND BOOTH COVERAGE

11.1. Credentials: Each exhibitor shall be entitled to credentials for the personnel attending its stand.

11.2. Mandatory coverage of the stand: it is mandatory that the stand be permanently covered by accredited personnel.

12. ASSEMBLY AND DISASSEMBLY

12.1. Assembly: June 3 and 4, 2024 from 9:00 a.m. to 9:00 p.m.

12.2. Dismantling: June 6 from 6:30 pm to 10:30 pm or June 7, 2024 from 9 am to 9 pm.

Modular stands will be delivered on June 4 from 12:00 noon.

Exhibitors who have not paid in full for the space contracted will not be authorized to occupy the space and will not be handed over the stand.

Modular stands will be dismantled on June 6th from 18:30 and must be empty at the end of the fair.

Net Zero Tech modular stands must be returned in the same condition in which they were received as rented. Any damage caused by improper treatment will be at the exhibitor’s expense.

12.3. Prohibitions: It is strictly forbidden to remove goods or samples exhibited at the stand during the course of Net Zero Tech, except with prior authorization from the Organization.

It is forbidden to nail objects of any kind directly on the pavement or walls of the stands.

13. CONTRACTING OF SERVICES

13.1. Contracting of services: The Organization offers the possibility of contracting various services. Once the registration has been formalized, the different service offers and their prices will be sent to you.

14. INSURANCE

14.1. Compulsory insurance: The compulsory insurances are civil liability and fire insurance. These insurances are included in the price of contracting the space, but it is recommended that each exhibitor take out his own insurance.
